Adding family/group and dependent memberships

If you’re offering group memberships (e.g., couples, family), each adult participant needs an account to be recognized as a separate customer so they could book courts or participate in events on their own.

In this case, there’s one primary account — they’ll be charged for the group membership, and dependent accounts with dependent membership with the same benefits as the primary member but without additional cost. This guide will show you how to apply dependent memberships and manage group accounts effectively.


Steps to Apply a Dependent Membership

  1. Find or Add the User

    • Navigate to the Users section in the admin panel.

    • If it’s an existing customer, use the search bar to find them by name or email. Click their name to open their profile.

    • If it’s a new customer (the person hasn’t interacted with your club yet), hit Add New Customer. Type in their email address, their name — that’s it, their profile is created.

  2. Assign the Dependent Membership

    • In the user’s account click Membership, then click on Assign Membership

    • Under membership options, select Dependent membership from the available types.

    • No payment is required for this membership, as the primary account holder is already paying for this membership.

    • Ensure a payment method is on file for the primary member, as this may be needed for future transactions or linked benefits.

  3. Set Expiration Date

    • Adjust the date as needed if the membership has a specific end date.

  4. Click on "Create membership".


Record Keeping

  • Primary Member Notes:

    • Write down the primary member’s name and profile link in the dependent’s user account notes.

    • This helps track who is financially responsible and ensures clarity during membership management.

  • Dependent Notes:

    • Record dependents under the primary member’s notes, including links to their user accounts.

    • This cross-referencing ensures you can manage or cancel all related memberships efficiently (e.g., if the primary member terminates their membership).
